What’s included in the registration fee?

Additional activities

All delegates are invited to attend the BSI Congress party, which will take place on Wednesday 8 December from 21:00 until late.  Tickets cost £10 per person and include two drinks vouchers. Numbers are limited, so we advise that you purchase these when you book your registration to avoid disappointment. Further details on this event can found be on our social events page.

Concessionary categories

Non-members who fall under the following categories are eligible to register for the Non-Member – Concessionary rates.

  • Students – undergraduate and postgraduate (including PhD and Masters)
  • Early career researchers – scientists employed as post-doctoral researchers, for the first 3 years post graduation
  • Concessionary – retired scientists and those on parental leave or career breaks

All delegates registering for this category will be requested to provide the paperwork to support the registration rate.

Onsite registration

Online registration will close at midnight on 3 December 2017. Thereafter we will not be able to accept registrations online or by phone. Any delegates wishing to register after this date can register on arrival at the Congress at the registration desk from 4 December 2017.


We can accept online payments by credit and debit card. Participants can also select an invoice option for payment by bank transfer. All payments for registration fees should be made in full before the Congress and within four weeks of completing your online registration. If you have any problems making the payment before the Congress, please contact If payment is not received before the Congress, your registration will be cancelled and you will be required to pay the onsite fee on arrival.

Cancellation and refund policy

Cancellations must be emailed to A 5% administration fee applies to all cancellations. Refunds will be made as follows:

  • 100% refund when cancelling more than 3 months prior to the event
  • 50% refund when cancelling 1–3 months prior to the event
  • 25% refund when cancelling 15 days to 1 month prior to the event
  • 0% refund when cancelling within 14 days of the event.


Certificates of attendance

Delegates will be invited to complete an online evaluation form and then they will be able to download their certificate. Certificates of attendance will only be available for delegates who attend the Congress.

Accompanying persons

There is no accompanying persons registration for this Congress.

Letters for visa applications

If you require a letter to confirm your registration, please complete the online registration form and make payment. Once payment has been received, we will be able to email a letter to you. Please email to request a letter. Please note, invitation letters can only be issued to invited speakers. Delegates and abstract submitters can be given a letter to confirm their registration/abstract submission. If your visa is declined, we are only able to offer refunds in line with our cancellation terms and conditions.


There will be an official photographer and video recorder at the Congress and the resulting images/films clips may be used for promotional and marketing purposes by the BSI. If you would prefer not to appear in these, please make your wishes known at the registration desk upon arrival.
