Abstract submission

Can I submit an abstract that has been already presented in different event?

Yes, but these will not be considered for full oral abstract presentation. Encore submissions will only be accepted for posters or brief orals.

Who has the copyright for my abstract after submission?

Is submitting an abstract free of charge?

Regular abstracts and Clinical Cases submission will be free of charge. To submit a late-breaking abstract a fee of 50 EUR will apply.

How do I create a new abstract?

How do I fill in an abstract?

Once you have created an abstract, the system will guide you through all the steps to complete it. You can take those steps in any order you want, but you cannot submit your abstract, before all steps have been completed. If you face any troubles, please contact: programme.congress@esot.org

Can I submit the same abstract more than once?

No. Please read the abstract guidelines. [link to abstract guidelines??]

Which language do I have to use for my abstract?

All abstracts must be submitted and presented in English. Please use UK spelling and have your abstract proofread.

Can I choose a certain person as a presenter?

Yes, please refer to the abstract guidelines for this. [link to abstract guidelines??]

My affiliation and/or that of one of my co-authors is not correct.

Is there a word/character limit?

Abstract text must not exceed 2,000 characters, heading maximum of 150 characters.

How can I insert a table?

Tables can only be inserted as graphic files (png, jpg, gif).

Is there anything to take care of before logging out?

Please make sure to submit your abstract. If your abstract remains in “draft”, it will not be considered for review

I have submitted my abstract, but not received a confirmation message. What should I do?

Can I make corrections to a submitted abstract?

Yes. If you wish to make corrections to an abstract already submitted or if you wish to submit other abstracts later, you may login again and do so. Corrections to abstracts can only be made until the abstract submission deadline. Please also note that once you edit your abstract you have to press the SUBMIT BUTTON again to save your changes.

What do I do with abstracts that I have added to the system, but do not want to submit?

You can either delete them or you leave them in the system as “not submitted”. Please note that you will then receive reminders to submit them.

How do I apply for a bursary?

You need to select this option during the submission process

How do I participate in the LDV (Leonardo da Vinci Award)

When will I be informed if my abstract/bursary/tournament application has been accepted?

You will receive a confirmation that your abstract is in the system right after submission of the abstract. Confirmation on acceptance/rejection and presentation type of your abstract as well as acceptance of bursary/tournament application will be sent before the early registration deadline, on May 21, 2021.

What do I have to do after my abstract has been accepted?

First you have to check, if your work is selected for oral or poster presentation and then you need to prepare it for the congress. One of the co-authors must attend the congress and present it in person. Acceptance of the abstract implies payment of the registration fee by the presenting author. If none of the co-authors can come to the congress, another presenter can be announced. Please inform the Abstract Team as soon as possible. If a presenting author does not register to the congress or does not attend the session for which (s)he has been scheduled, a penalty may incur, prohibiting the author from presenting papers at the next Congress.

I have chosen "oral" as presentation type, but my abstract is scheduled as a poster?

The Programme Committee makes the final decision on the presentation type. If you do not want to present your work as a poster, please contact the Abstract Team: programme.congress@esot.org immediately and cancel your presentation.

Can I change the session of my abstract presentation?

No, after you abstract is selected to the ESOT Congress, the allocation (schedule and presentation type) is decided by the IScientific Programme Committee and you will have no option to modify this.

When will the full abstract content be available, and where can I find it?

Full content of accepted abstracts will be visible in the online programme two weeks prior the beginning of the Congress. This date excludes abstract under embargo which will be visible on the day of the presentation.

Where will my abstract be published?

Abstracts will be published in a supplement of the September 2021 edition of Transplant International.

How can I register for the congress?

Registration for the congress should be done online from the congress website registration page [link] Please click individual registration and follow the instructions.

What is included in the registration fee?

How can I register delegates for a congress?

How can I get an Invitation Letter for a Visa application?

Please complete your registration before. Once the registration is completed, you may request a Visa letter.

Who is the Official Agency for AIFA submissions (Prerichiesta AIFA)?

According to Italian legislation, any Marketing Authorisation Holder or pharmaceutical company responsible for the commercialisation of a drug, which organises or helps to organise, whether by direct or indirect funding in Italy or abroad, a congress, or a meeting on topics in any way related to the use of medicines, shall notify the competent Unit of the Italian Medicines Agency (AIFA) at least 60 days before the date of the event to ensure that these adhere to strict technical criteria and aim to provide further knowledge in the fields of chemistry, pharmaceutical technology, biochemistry, physiology, pathology and clinical medicine. Which payment methods are accepted? Can I pay by bank transfer?

Bank transfer and credit cards are accepted

Which currencies are accepted?

All debit/credit card transactions are processed in Euros. For cash payments we accept only Euros (EUR).

Is there special fee for ESOT members?

A special low fee is possible for ESOT members. Please see congress fees here [link]

Can I register an accompanying person?

No, this is not possible

When will I get my registration confirmation/invoice?

Your registration confirmation and invoice will be sent to you on email immediately after registration.

Can I replace one delegate with another?

Yes, upon the payment of the “name change” fee applied

Can I cancel a registration?

Are children allowed to attend?

Children are not allowed in the congress areas.

Can I register onsite?

Yes it is possible to register onsite at the designated standers in the registration area.

Bank details are provided in the invoice that will be sent to you immediately after registration.

Where can I get an invoice from?

May I collect the certificates of attendance for the whole of my group/a few colleagues without them being present?
