How can I register for the congress?

Registration for the congress should be done online from the congress website registration page https://www.esotcongress.org/register/. Please click individual or group registration and follow the instructions. The first step of the process is to create an account.

What is included in the registration fee?

Registration includes:

  • Admission to all scientific sessions
  • Admission to all Specialty Update Symposia
  • Access to the exhibition
  • Access to delegate lounges
  • Participant’s kit with Congress material
  • Refreshment breaks

I am an agent/booking coordinator. It is possible to register colleagues or clients for the congress?

We have set up a specific “Third Party” registration service for you that will allow you use your own My ESOT account to submit, refer to and manage your delegate’s registration.

How can I register someone else?

It is possible to register colleagues or clients for the congress. Registration for the congress should be done online from the congress website registration page https://www.esotcongress.org/register/. Please click individual or group registration. You will be asked to create an account from which you will be able to register others.

How can I get an Invitation Letter for a Visa application?

Please check here to see if your country requires a visa for Denmark. If required an invitation letter will be issued at delegates requests.

You may download a customised invitation letter from your My ESOT account. Such an invitation is intended to help potential delegates raise travel funds or obtain a visa. Please note, however, this does not bind the ESOT to provide financial support.

Which payment methods are accepted?

Accepted payment methods for online registration are credit card or bank transfer. Credit card and cash are accepted for on-site registrations. Please note that all onsite registration are charged at the late & onsite rate.

Can I pay by bank transfer?

Which currencies are accepted?

All debit/credit card transactions are processed in Euros. For cash payments, we accept only Euros (EUR) or Danish Crowns (DKK).

Is there a special fee for ESOT members?

There is a reduced fee for ESOT members. There is also an opportunity to join ESOT and register for the congress at a reduced rate. This option is called EasyESOT. Please visit this page to see a full overview of our registration fees.

How do I get my congress badge?

All badges are collected at the venue with an electronic voucher sent to you by email once the registration is confirmed.

When and to whom will the vouchers for onsite badge collection be sent?

The vouchers are sent to the email used in the registration, once registration is confirmed.

When will I get my registration confirmation/invoice?

Once you have submitted your online registration you will immediately receive a registration number by automatic email. You should then receive the full confirmation/invoice within three to five working days.

Can I replace one delegate with another?

All changes and substitutes (replacements) are subject of the administration fee of EUR 25,00.

  • Registration cancellation up to 30 June 2019: only  the administration fee applies 
  • Registration cancellation between 1 and 31 July 2019: 50% of registration fee. 
  • Registration cancellation on or after 1 August 2019: 100% of registration fee.

Can I cancel a registration?

All changes and substitutes (replacements) are subject of the administration cost of EUR 25,00.

Are children allowed to attend?

Children are not allowed in the congress areas.

Can I register onsite?

Yes, it’s possible to register onsite at the designated section in the registration area.

What information do I need to provide to register a delegate?

We require the following details for each participant you wish to register:
First name and Family name, a personal home or business address, a personal email address and phone number. Please note that the address details cannot be the same for all delegates, and if the information is not properly provided, the registration will be rejected.

How can I register a group?

To benefit from the group fee, 10 or more delegates must be registered. If your group has less than 10 delegates, they must be registered individually. Registration for the congress should be done online from the congress website registration page https://www.esotcongress.org/register/. Please click individual or group registration and follow the instructions.

Can I pay for the group now and give the names later?

Yes, you can book a group and add names at a later stage by logging in to your account and updating or editing the information.

Can I send you a list of delegates to register?

We do not accept lists of delegates for registration, but should you encounter any problems while registering your group, we can assist you in registering them.
